Scope of Position:
Under general supervision provided by the Staff Services Manager I, the Office Technician (Typing) will provide clerical assistance to staff, while taking initiative to complete tasks timely and accurately within the Statewide Tax Support Office. The incumbent will perform the more technical clerical duties for the Statewide W2/Non-Uniform State Payroll System (USPS)/Miscellaneous Deductions and the Tax Support Unit. The incumbent uses a personal computer and Microsoft Office Suite (Outlook, Word, Excel, Access, and PowerPoint) to perform word processing tasks, inputting data into various databases and spreadsheets.

Duties and Responsibilities:
(Candidates must perform the following functions with or without reasonable accommodations.)

  • Orders pay history via Key Master, retrieves files, and keys data into tracking database; provides data to Senior Payroll Specialist and Payroll Officer for verification, prints Year-to-Date totals, and prepares cover letters for subpoenas.
  • Assists staff with entering data into the Duplicate W-2 Access Database; ensuring data is accurate, and assists staff in retrieving various reports. Assists in processing duplicate W-2 requests which includes: Opening requests, verifying completeness of request, determining mailing options, printing labels, verifying payroll deduction eligibility, and create a listings of money orders with pertinent information. 
  • Assists the units with phone inquiries, retrieves microfiche, and provides clerical assistance when needed.
  • Opens, date stamps and sorts incoming mail by document type and distributes to the appropriate Statewide Tax Support Program. 
  • Retrieves, and sorts documents by batch number and files payroll batch folders. Separates, copies and mails carrier copies to deduction companies. 
  • Performs a variety of other duties as assigned to support the unit such as photocopying, filing, and mailing various documents.
