Tips for Processing Lump Sum Separations
Action Required: Share the following information with all human resources (HR) office employees.
Description: To help ensure that your lump sum separation Personnel Action Request (PAR) packages are accurately processed and meet the mandated requirements, use the tools in the Lump Sum Separation Toolkit and follow the following tips.
- CalHR Pay Letter 23-35: If an employee is retiring and has a pay differential(s), review CalHR Pay Letter 23-35 (this letter may be accessed at: https://hrnet.calhr.ca.gov/CalHRNET/default.aspx) to determine if the employee is impacted. If the employee is impacted, follow the steps in the pay letter. If you receive a ding notice from the State Controller’s Office (SCO), promptly follow all instructions.
- Submitting the Lump Sum Separation Pay Contribution Election Form: All three sections of the Election Form must be completed and included in the PAR package, or a ding notice will be sent.
- Section I – Participant Information
- Section II – Contribution amount(s) to a Savings Plus account(s)
- Section III – Employee’s signature and date
- Check the status of a PAR package: Do not submit an inquiry or a duplicate PAR, as this may significantly delay processing time. See question #8 in the Lump Sum Separation FAQ for information regarding checking the status of a PAR package.
- Redeposits: If a redeposit is needed, you must contact SCO. Please contact the Statewide Customer Contact Center at (916) 372-7200 and select #2 for Civil Service, #4 for Civil Service Payroll, and then #1 for General Payroll Questions.
- Ding Notices: If you receive a ding notice, carefully follow all instructions, as this will assist SCO with addressing the issue promptly and processing the lump sum separation timely.
